This policy explains what personal information Headshot London collects, why we collect it, how long we keep it and the choices you have. We have written it to be read, so please get in touch if anything is unclear.
Who we are
Headshot London is a trading name of Climate Funding Bridge Ltd, a company registered in England and Wales (company number 15522860), which also trades as LirioAI. Our registered office is 29 Gildredge Road, Eastbourne, East Sussex BN21 4RU.
Climate Funding Bridge Ltd is the data controller for the personal information described in this policy. You can contact us about anything in it at booking@headshotlondon.pro or on 07940 444641.
What we collect
- Enquiries. Your name, email address, phone number, company and anything you tell us when you use our contact form, email us, call us or use the live chat on our website.
- Bookings and payments. The details we need to arrange your shoot and invoice you, such as your name, company, billing address and payment records. Card payments are handled by our payment providers; we never see or store your full card number.
- Photographs. The photographs we take of you, and any images you send us for retouching or Augmented Imagery.
- Files you send or download. Images and details you upload through our file transfer pages, and the galleries we send you for download.
- Website use. If you accept analytics cookies, information about how you use our website, such as the pages you visit and the type of device you use. See “Cookies” below.
How we use it, and our legal basis
- To answer enquiries and give quotes. This is in our legitimate interests, and at your request before entering into a contract.
- To carry out your booking. Arranging the shoot, editing and delivering your photographs, and invoicing. This is necessary to perform our contract with you or your organisation.
- To keep business and tax records. This is a legal obligation.
- To tell you about our services. Now and then we may email clients and people who have enquired about our photography with news about our services. We do this in our legitimate interests and, for individuals, under the rules that allow businesses to contact existing customers and enquirers about similar services. Every email includes an unsubscribe link, and you can opt out at any time by replying or emailing us.
- To understand and improve our website. Using analytics cookies, only with your consent.
- To keep our website and systems secure. This is in our legitimate interests.
If we would like to use your photographs in our portfolio or marketing, we will ask you first. You can ask us to remove them at any time.
Who we share it with
We never sell, rent or trade your personal information. We share it only with service providers who work on our behalf and may use it only to provide their service to us:
- SiteGround, which hosts our website, our email and our email marketing;
- Google, for website analytics through Google Analytics and Google Tag Manager, with your consent;
- LiveChat, which runs the chat window on our website;
- payment providers such as Zettle by PayPal and PayPal, which process card and online payments;
- image-editing and AI image-processing services we use to retouch photographs and create Augmented Imagery;
- our accountants and professional advisers, where needed.
We may also disclose information if the law requires it.
International transfers
Some of these providers may process information outside the UK. Where they do, the transfer is protected by UK adequacy regulations or by approved contract terms.
How long we keep it
- Download galleries sent through our file transfer pages are deleted automatically after 10 days, unless we have agreed to keep an event gallery available for longer.
- Enquiries that do not lead to a booking are kept for up to two years, so we can pick up the conversation if you come back to us.
- Booking, invoice and payment records are kept for six years, as tax law requires.
- Your photographs are kept so we can supply extra copies or edits later. Ask us at any time and we will delete them.
- Our email list keeps your details until you unsubscribe. After that we keep only a note of your address, so we do not email you again.
Cookies
Our website uses cookies that are needed for it to work. Analytics cookies are only set if you accept them in the cookie banner, and you can change your choice at any time through the same banner.
Your rights
You have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct anything that is wrong or incomplete;
- ask us to delete your information;
- ask us to restrict how we use it, or object to our using it, including an absolute right to object to marketing;
- ask us to transfer information you gave us to you or to another organisation;
- withdraw your consent at any time, where we rely on consent.
To use any of these rights, email booking@headshotlondon.pro. We will reply within one month.
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Changes to this policy
We will update this page if the way we handle personal information changes. The date at the top shows when it was last revised.
